The Responsibilities

Payments, Invoices and Receipts
  • Process supplier invoices accurately and on time, matching against POs/contracts where applicable
  • Manage the end-to-end payment run, ensuring suppliers are paid within agreed terms
  • Maintain supplier records and resolve queries or discrepancies directly with vendors
  • Raise client invoices in line with the agency's billing schedule and project milestones
  • Keep the finance system (e.g. Xero) up to date with accurate coding of income and expenditure
  • Weekly Bank Reconciliation: Manage receipts across the team, correctly filing them in Xero and assigning cost of sale to the right areas 
Client Finance Management
  • Partner with department managers to support budgeting and financial performance
  • Analyse project profitability and margins with the MD and CSD
  • Support pricing decisions and commercial contract reviews with the MD and CSD
  • Identify opportunities to improve profitability and operational efficiency with the MD and CSD
  • Develop financial dashboards and reporting to improve business visibility for monthly reporting with the MD
Paid Media Support 
  • Work with our paid specialists to make sure ad spend is running smoothly across multiple accounts. Training can be provided here so you can understand the paid media side of things.
P&L Support
  • Support the Managing Director with tracking information in the P&L — invoicing schedule, cost of sale, and monthly variances
  • Help prepare monthly management accounts and reconcile against budget
  • Flag any anomalies or unbilled work to the MD ahead of month-end close
Board Packs 
  • Prepare information at the request of the Managing Director for the monthly board meetings
Systems, Controls & Compliance
  • Maintain robust financial controls and ensure compliance with accounting standards and legislation
  • Review and improve finance processes through automation and continuous improvement
  • Manage finance systems and support implementation of new technology where appropriate
  • Ensure compliance with internal policies and external regulatory requirements
Forecasting Growth 
  • Support the MD in building and maintaining rolling cash and revenue forecasts
  • Track pipeline and confirmed project income against forecast to highlight gaps early
  • Provide data and reporting to inform resourcing and growth planning decisions
Payroll
  • Prepare and process monthly payroll inputs (new starters, leavers, changes, expenses, benefits)
  • Handle payroll-related queries from staff and maintain confidentiality of pay data
  • Ensure pension auto-enrolment and other statutory deductions are correctly administered
  • Pay salaries to employees each month (team of approx 20-30)
Credit Control and Cashflow 
  • Chase outstanding client invoices and manage the debtor ledger to minimise late payment
  • Monitor day-to-day cashflow and flag any shortfalls to the MD in good time
  • Maintain positive client relationships while managing payment terms and escalations
  • Provide regular aged debtor and cashflow reports to the leadership team
HMRC 
  • Provide our external accountants with all financial information and documents they need for preparing our year-end statutory accounts
  • Liase with HMRC whenever necessary 
  • File our annual Confirmation Statement with Companies House
  • Prepare quarterly VAT returns 
  • Answer corporation tax queries

Required Skills and Experience

  • 3+ years in a finance/bookkeeping role within an agency or professional services environment
  • AAT qualified, part-qualified or qualified (ACCA, CIMA, ACA or equivalent)
  • Hands-on experience running payroll end-to-end, including PAYE, NI, pension contributions and RTI submissions
  • Experience with accounts payable/receivable and credit control
  • Exposure to management accounts preparation 
  • Confident user of Xero (or equivalent cloud accounting software) and a payroll system (BrightPay, Xero Payroll, etc.)
  • Working knowledge of PAYE, statutory payments, and pension auto-enrolment obligations
  • Comfortable filing Companies House confirmation statements and keeping statutory records current
  • Strong Excel/Google Sheets skills
  • High attention to detail and comfortable working to monthly/annual deadlines
  • Good communication skills and will be able to liaise directly with suppliers, clients (on payment terms), and external accountants
