We are looking for a proactive, highly organised individual with a great sense of initiative to join Truffle as a PA/EA to our CEO, Ellie.
The role combines typical Executive Assistant duties with personal organisational support and light personal-branding assistance for Ellie.
You’ll work closely with Ellie — a harmonious working relationship will be built on shared values: positivity, honesty, resilience, willingness and ambition.
The ideal candidate will excel in the below areas:
- Organisation, time management, tidiness and prioritisation
- Strong copywriting and communication skills
- Proactive problem-solving and applied common sense
- Efficiency and optimisation - spotting opportunities to streamline, save time and improve processes
- Analytical mindset - confident with spreadsheets and data
- Light video editing (a bonus, not an essential!)
- AI proficiency - confident using AI tools effectively
Working alongside our existing EA
You’ll coordinate your workload alongside Becca, our current EA, who supports the Managing Director and wider team with office-wide operations.
While Becca focuses on day-to-day business management, team logistics, and inbound business development, your primary focus will be on supporting Ellie across strategic, forward-facing areas — including business development, external communications, marketing, and personal branding.
The two of you will work closely to divide and conquer efficiently, ensuring nothing falls through the cracks. Strong communication, respect for each other’s priorities, and an ability to collaborate seamlessly are key to making this dual-EA setup a success.
General and personal admin:
- Organisation & Optimisation:
- Filter and respond to emails, maintaining high standards of communication
- Create and refine processes independently - minimal hand-holding required
- Manage Ellie’s calendar: book meetings, appointments, events, tickets and organise travel, set reminders and plan recurring check-ins
- Prioritise effectively: block time for Ellie’s ‘big 4’ focus areas and rearrange as needed
- Maintain clean, formula-linked spreadsheets and create clear visual graphs for insights
- Take meeting notes and share concise task lists
- Manage travel and accommodation bookings
- Confident use of AI tools with strong quality control
- Comfortable communicating via WhatsApp and quick voice notes
- Confident making calls to move tasks forward efficiently
- Marketing & PR Support: This role is 70–80% administrative. If you’re seeking a primarily creative position, this may not be the right fit — though creative tasks will occasionally arise. Examples include:
- Manage Ellie’s LinkedIn inbox, draft/refine posts, and occasionally help produce short founder-led videos for Ellie’s and/or Truffle’s TikTok pages, assisting with filming and occasionally appearing in content when needed
- Research and propose networking, event and speaker opportunities; manage follow-ups and build momentum post-event
- Draft press releases and liaise with media contacts
- Attending networking events with Ellie and representing Truffle confidently
- Business Strategy, New Business, Finance & Legal:
- Helping to improve new business proposals and Truffle’s credentials decks
- Supporting on internal company presentations (research, formatting, data and analytics)
- Finance admin support - managing Ellie’s receipts and expenses, support in liaising with accounts team when submitting personal tax info and bank statements
- Legal and contracts - having an eagle eye and tracking
- Partnerships - supporting across communication with partner agencies and freelancers and other strategic partners to maintain good relationships with clear agreements
- Supporting across the CEO’s exploration across innovation for the business’s growth and plans for the future
- Internal agency reports - Becca will continue to oversee this, however you will be required to be present during some operations meetings and input whenever needed
You will need at least one year’s experience in a similar administrative or PA/EA role, with proven experience of handling correspondence. An ability to work in a high-pressure environment with a dynamic approach; our industry is ever-changing and we embrace agility within our culture!).
Naturally, you will become familiar with personal information and you’ll gain an insight into the mechanics of the business, so it is essential that you possess discretion and are very trustworthy.
Essentially, your role will be to help the CEO stay organised, focused, and performing at her best.
